When a company decides to introduce a **bill payment** system, the temptation is to treat it as a channel issue: offering one more payment link, adding a wallet, giving customers a simpler experience at the moment of payment. The operational challenge, however, comes straight afterwards. If the payment remains disconnected from the invoice, due date, customer master data, dunning workflow and accounting, collection becomes faster for the payer but not necessarily easier to manage for whoever has to close the cycle.

In the Order-to-Cash cycle, the value of **bill payment** emerges precisely here: in the ability to bring into the process an event that is too often handled downstream, in separate systems and with uneven levels of traceability. Integrating payments means making **the journey from issuing the payment request to the cash actually being available easier to read**, with tangible effects on reconciliation, cash collection forecasting and customer experience.

## The role of bill payment in the O2C process

In finance terms, **bill payment** isn't the same as simply "paying online". **It is the point at which the payment request becomes executable digitally, traceably and consistently with accounts receivable data.** That is why, in more mature O2C processes, it isn't an add-on to the invoice: it is a component of the overall collection design.

The market is already moving in this direction. The ECB reports that in the first half of 2024, non-cash payments in the euro area rose to 72.1 billion, up 7.4% year on year, with cards, credit transfers and direct debits accounting for a significant share ([ECB, 30 January 2025](https://www.ecb.europa.eu/press/stats/paysec/html/ecb.pis2024h1~5263055ced.en.html)). For businesses, this means something very practical: customers expect smooth, multichannel payment options, while finance has to manage a growing mix of instruments, timings and return data.

Within O2C, therefore, **bill payment** connects three layers that often run separately: the document that creates the receivable, the customer's payment action and the update of the systems that need to record, check and close the item. If this connection isn't well designed, the digitalisation of collections remains superficial.

## The pitfalls of fragmented payment management

Many companies live with a hybrid set-up. The invoice is issued from the ERP, the customer pays through a portal or an external provider, treasury receives bank information, accounts receivable tries to work out which items it relates to and the credit team keeps working on statuses that aren't always up to date. In between, exceptions pile up: partial payments, missing references, aggregated amounts, credit notes, unconfirmed promises to pay.

The **issue isn't just operational**. Fragmented management reduces visibility over the real status of collections and also weakens governance. If payment data arrives late, or arrives without a structure consistent with the original document, forecast quality suffers, as does the monitoring of late payments and the ability to quickly tell what has been paid from what is merely "in transit".

The result shows up at several points in the process: reminders sent to customers who have already paid, open items that stay open because of matching problems, time spent on manual checks, escalations between finance and customer service. At that point, the issue is no longer digital payment as such, but the hidden cost of an O2C process that loses continuity in its most sensitive phase.

## How to integrate bill payment, collections and reconciliation

Genuinely integrating **bill payment** requires a process-driven approach. Connecting a provider to a payment page isn't enough: every relevant payment event must feed back into the application perimeter of the receivables cycle, with data that systems can read and workflows capable of automatically handling the most common outcomes.

Integration works when the **payment request originates within the context of the invoice**, with reliable references, consistent amounts and a direct link to the open item. If this link is reconstructed afterwards, perhaps starting only from the bank outcome, the process quickly fills up with manual checks again.

How statuses are managed also matters. Authorised, processing, collected, partially collected, failed, reversed: this information must flow continuously between the payment portal, finance systems, treasury and credit management. **Without clear orchestration of events**, visibility breaks down at the very point where it should be helping decisions.

Finally, reconciliation should be designed to automatically absorb everything that is straightforward and bring only genuine exceptions to people's attention. **This is where intelligent automation creates value**: not by replacing control, but by freeing it from repetitive work and making it more timely on ambiguous cases.

European standards are moving in the same direction. The European Payments Council's SEPA Request-to-Pay scheme sits between the commercial transaction and the payment, allowing the payee to formally request that payment be initiated in physical or online use cases ([EPC](https://www.europeanpaymentscouncil.eu/what-we-do/other-schemes/sepa-request-pay-srtp)). On the data side, the Extended Remittance Information option of the SCT scheme makes it possible to attach more structured information about invoices and credit notes to a single credit transfer, with the explicit aim of supporting automated processing and the reconciliation of open items [(EPC ERI](https://www.europeanpaymentscouncil.eu/what-we-do/sepa-payment-schemes/sepa-credit-transfer/extended-remittance-information-option)).

## Visibility over payment status and flows

**Visibility is what separates digitalised collections from truly governed collections.** When **bill payment** is integrated into the O2C process, finance, treasury and credit management don't just see the final payment: they see where each request stands, which customers opened the link but didn't complete the transaction, which items are awaiting bank confirmation and which exceptions are slowing down closure.

This level of visibility becomes even more important in a European context where instant payments are becoming standard infrastructure. The European Commission notes that Regulation (EU) 2024/886 on instant payments entered into force on 8 April 2024. From 9 January 2025, providers in the euro area must allow customers to receive instant euro credit transfers at the same or lower fees than standard transfers, and from 9 October 2025 they must also allow customers to send them and offer payee verification ([European Commission](https://finance.ec.europa.eu/consumer-finance-and-payments/payment-services/payment-services_en); [DG FISMA](https://finance.ec.europa.eu/publications/clarification-requirements-instant-payments-regulation_en)). For businesses, this doesn't solve collection problems on its own, but it raises the bar: if money can move faster, internal systems must be able to read and record it just as quickly.

## Bill payment benefits for cash flow, control and customer experience

The **impact on cash flow** is the first thing to emerge, but not in an abstract way. A well-integrated **bill payment** solution reduces friction between invoicing and payment, shortens process throughput times and helps turn receivables into available cash more quickly. At the same time, forecast quality improves: not only because cash comes in sooner, but because you understand sooner what is happening.

Then there is the question of control. With structured payment data and consistent status updates, reconciliation stops being a largely manual activity and goes back to focusing on genuine anomalies. This lightens the administrative workload, reduces the risk of errors and makes KPIs such as overdue receivables, DSO, on-time collection rate and volume of unidentified items more reliable.

On the customer side, the benefit can be measured just as concretely. In Italy, the digital payments market reached €518 billion in 2025, up 7%, according to the Politecnico di Milano's Innovative Payments Observatory ([Osservatori Digital Innovation](https://www.osservatori.net/comunicato/innovative-payments/pagamenti-digitali-in-italia-mercato/)). In this context, offering payment experiences that are out of step with the rest of the process creates friction that customers notice straight away: scattered channels, slow confirmations, unclear amounts to be paid and customer service forced to step in where the flow alone should be enough. Integration, by contrast, makes payment part of a smoother administrative experience rather than an interruption.

## When it makes sense to rethink bill payment in your O2C process

Acting on **bill payment** in O2C processes makes sense when the symptoms are already visible: many open items requiring manual checks, collection times shortened only through sales or dunning efforts, customer service drawn into administrative queries, difficulty in quickly telling genuine delays from technical exceptions, and poor visibility over the transition from promised payment to executed payment to posted payment.

Above all, it makes sense when the company still sees payments as an end point rather than a step to be orchestrated. **This is where much of the data quality and financial predictability of the receivables cycle is won or lost.**

Integrated **bill payment** won't solve every Order-to-Cash problem on its own. But it changes the level of the conversation: it shifts the focus from "how to collect online" to "how to make collection a governed part of the process". **And this is where control, reconciliation and speed stop competing with each other and finally start working on the same side.**

"articleBody" : "When a company decides to introduce a bill payment system, the temptation is to treat it as a channel issue: offering one more payment link, adding a wallet, giving customers a simpler experience at the moment of payment. The operational challenge, however, comes straight afterwards. If the payment remains disconnected from the invoice, due date, customer master data, dunning workflow and accounting, collection becomes faster for the payer but not necessarily easier to manage for whoever has to close the cycle. In the Order-to-Cash cycle, the value of bill payment emerges precisely here: in the ability to bring into the process an event that is too often handled downstream, in separate systems and with uneven levels of traceability. Integrating payments means making the journey from issuing the payment request to the cash actually being available easier to read, with tangible effects on reconciliation, cash collection forecasting and customer experience. The role of bill payment in the O2C process In finance terms, bill payment isn't the same as simply \"paying online\". It is the point at which the payment request becomes executable digitally, traceably and consistently with accounts receivable data. That is why, in more mature O2C processes, it isn't an add-on to the invoice: it is a component of the overall collection design. The market is already moving in this direction. The ECB reports that in the first half of 2024, non-cash payments in the euro area rose to 72.1 billion, up 7.4% year on year, with cards, credit transfers and direct debits accounting for a significant share (ECB, 30 January 2025). For businesses, this means something very practical: customers expect smooth, multichannel payment options, while finance has to manage a growing mix of instruments, timings and return data. Within O2C, therefore, bill payment connects three layers that often run separately: the document that creates the receivable, the customer's payment action and the update of the systems that need to record, check and close the item. If this connection isn't well designed, the digitalisation of collections remains superficial. The pitfalls of fragmented payment management Many companies live with a hybrid set-up. The issue isn't just operational. Fragmented management reduces visibility over the real status of collections and also weakens governance. If payment data arrives late, or arrives without a structure consistent with the original document, forecast quality suffers, as does the monitoring of late payments and the ability to quickly tell what has been paid from what is merely \"in transit\". How to integrate bill payment, collections and reconciliation Genuinely integrating bill payment requires a process-driven approach. Connecting a provider to a payment page isn't enough: every relevant payment event must feed back into the application perimeter of the receivables cycle, with data that systems can read and workflows capable of automatically handling the most common outcomes. Integration works when the payment request originates within the context of the invoice, with reliable references, consistent amounts and a direct link to the open item. Without clear orchestration of events, visibility breaks down at the very point where it should be helping decisions. Finally, reconciliation should be designed to automatically absorb everything that is straightforward and bring only genuine exceptions to people's attention. This is where intelligent automation creates value: not by replacing control, but by freeing it from repetitive work and making it more timely on ambiguous cases. European standards are moving in the same direction. The European Payments Council's SEPA Request-to-Pay scheme sits between the commercial transaction and the payment, allowing the payee to formally request that payment be initiated in physical or online use cases (EPC). On the data side, the Extended Remittance Information option of the SCT scheme makes it possible to attach more structured information about invoices and credit notes to a single credit transfer, with the explicit aim of supporting automated processing and the reconciliation of open items (EPC ERI). Visibility over payment status and flows Visibility is what separates digitalised collections from truly governed collections. When bill payment is integrated into the O2C process, finance, treasury and credit management don't just see the final payment: they see where each request stands, which customers opened the link but didn't complete the transaction, which items are awaiting bank confirmation and which exceptions are slowing down closure. This level of visibility becomes even more important in a European context where instant payments are becoming standard infrastructure. The European Commission notes that Regulation (EU) 2024/886 on instant payments entered into force on 8 April 2024. From 9 January 2025, providers in the euro area must allow customers to receive instant euro credit transfers at the same or lower fees than standard transfers, and from 9 October 2025 they must also allow customers to send them and offer payee verification (European Commission; DG FISMA). For businesses, this doesn't solve collection problems on its own, but it raises the bar: if money can move faster, internal systems must be able to read and record it just as quickly. Bill payment benefits for cash flow, control and customer experience The impact on cash flow is the first thing to emerge, but not in an abstract way. A well-integrated bill payment solution reduces friction between invoicing and payment, shortens process throughput times and helps turn receivables into available cash more quickly. In Italy, the digital payments market reached €518 billion in 2025, up 7%, according to the Politecnico di Milano's Innovative Payments Observatory (Osservatori Digital Innovation). When it makes sense to rethink bill payment in your O2C process Acting on bill payment in O2C processes makes sense when the symptoms are already visible: many open items requiring manual checks, collection times shortened only through sales or dunning efforts, customer service drawn into administrative queries, difficulty in quickly telling genuine delays from technical exceptions, and poor visibility over the transition from promised payment to executed payment to posted payment. Above all, it makes sense when the company still sees payments as an end point rather than a step to be orchestrated. This is where much of the data quality and financial predictability of the receivables cycle is won or lost. Integrated bill payment won't solve every Order-to-Cash problem on its own. But it changes the level of the conversation: it shifts the focus from \"how to collect online\" to \"how to make collection a governed part of the process\". And this is where control, reconciliation and speed stop competing with each other and finally start working on the same side.",
